Microsoft OneDrive is a powerful tool for productivity, but if someone gains access to your computer or your Microsoft account, your files are wide open. To truly secure your data, you need to know how to lock specific folders.
1. Use the OneDrive “Personal Vault”
The easiest way to password protect a folder is to use the built-in Personal Vault.
- How it works: It acts as an extra-secure area within OneDrive that requires a second form of identity verification (like a fingerprint, PIN, or a code from an authenticator app).
- Auto-Lock: The vault automatically locks after a period of inactivity, ensuring your files aren’t left exposed if you walk away from your desk.
2. Creating an Encrypted ZIP Archive
If you want to protect a folder that lives outside the Personal Vault, the best method is to create an encrypted archive.
- Right-click your folder and select Compress to ZIP file.
- Use a tool like 7-Zip or WinRAR to add a password to the file before uploading it back to OneDrive.
3. Sharing Securely with Links
When you share a folder from OneDrive, never just send a public link.
- Click Share > Settings.
- Select Set password and choose an expiration date.
- Pro Tip: Send the password to the recipient using a Self-Destructing Note so it isn’t sitting in their email inbox forever.
